FreightMail by Keelway
Privacy Policy

Who we are
FreightMail is an email assistant for freight brokers and carriers, provided by Keelway (keelway.com). It connects to a mailbox you already own, reads the freight conversations in it, and prepares replies for you to review. This policy covers FreightMail at freightmail.keelway.com and each customer workspace under it.
What we access in your mailbox
With your permission, and only after you connect it yourself, FreightMail reads:
- Your messages and threads — senders, subjects, dates and message text, so the assistant can tell a rate confirmation from a check call and prepare a reply that makes sense.
- Attachment names and types — to show what is on a thread. FreightMail does not open or parse attachment contents.
- Up to 100 of your recent sent messages, once, when you set up your voice profile — so drafts sound like you rather than like software.
FreightMail requests permission to send mail so that you can send an approved reply from inside the product. It does not send anything on its own — see “What we never do”.
What we store
Deliberately little. Your mailbox is the record; we keep only what the mailbox cannot tell us:
- Thread identifiers and our own labels — the message id, what the assistant judged the thread to be about, whether it flagged money or fraud risk, and any load number it matched.
- Drafts you have not sent, so they survive a page reload.
- Your voice profile — short descriptions of how you write, such as how you sign off. Not the messages they were derived from.
- A log of what the assistant did on each thread.
- Access tokens for your mailbox, encrypted.
We do not store the contents of the messages you receive. They are fetched from your mail provider when you open a thread and are not written to our database.
Where your mail data goes
To draft a reply, and to build your voice profile during setup, the text of the relevant messages is sent to Anthropic, which operates the Claude model that writes the draft. It is sent to produce your draft and is not used to train models.
Your mailbox data is not sold, is not used for advertising, and is not shared with anyone else. Each customer workspace has its own database; one customer’s mail is never readable by another.
Google API Services — Limited Use
FreightMail’s use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Concretely: your Gmail data is used only to provide the features described here, is not used for advertising, is not sold, and is not read by our staff except where you have asked us for support or where the law requires it.
What we never do
- Send an email on your behalf without you. Every reply waits for you to press send.
- Change data in your TMS. FreightMail reads your freight system; it does not write to it.
- Sell your data, or use it for advertising.
- Use your mailbox data to train AI models.
Disconnecting and deletion
You can disconnect your mailbox at any time from the product, or revoke FreightMail’s access directly in your Google Account security settings. Disconnecting stops all access immediately and deletes the stored tokens.
To delete your workspace and everything in it, write to ahmad@cccfreight.com. We delete it within 30 days, apart from anything we are required to keep by law.
Security
Mailbox tokens are encrypted at rest. Each customer workspace is a separate database with access rules that scope every row to the account that owns it. Access to production systems is limited to the people who operate the service.
